Consumable movements

Overview

Movements is the module's complete history: every receipt, every delivery, every adjustment and every transfer, with its quantity, its cost and who recorded it. It is the storeroom's audit trail and where the uncomfortable questions get answered: who took the four toners?, why did stock drop on Tuesday?, what has this printer consumed?

The history is immutable: movements are not edited and not deleted. A correction is always a new adjustment, which stays visible next to what it corrects.

Movement types

Type What it means Effect on stock
Receipt Goods arrived from the supplier. Adds. It is the only thing that moves the average cost.
Issue Handed out to someone, charged to a cost center. Subtracts.
Adjustment A correction against a physical count, breakage or an error. Adds or subtracts, depending on the adjustment.
Transfer A movement between storerooms. It produces two rows: one issue and one receipt. Subtracts at the origin, adds at the destination.

The Quantity column shows the sign: green with + for what comes in, red with - for what goes out.

How to use it

  1. The table is sorted by Date, newest first.
  2. Filter by Type from the column menu.
  3. Use the search to find by code, consumable name or location.
  4. Export to Excel from the table's toolbar when you need to work the data outside the system.

Table columns

Column Description
Date The movement date, in the company's time zone.
Type Receipt, Issue, Adjustment or Transfer.
Code The consumable's code.
Consumable The consumable's name.
Location The storeroom this row affects.
Quantity The quantity with its sign: + in, - out.
Unit cost The cost the movement was valued at.
Total cost Quantity x unit cost.
Cost center Which area it was charged to (issues only).
Employee Who received it (issues only, if captured).
Asset The equipment the consumption was charged to (issues only, if captured).
Recorded by The user who performed the operation.

Notes

  • Each movement's cost is frozen. A later purchase at another price changes the average cost from then on, but does not rewrite what an earlier delivery cost. That is why Reports for closed periods do not change on their own.
  • A transfer appears twice, once per storeroom. That is intentional: each storeroom keeps its complete story.
  • For the same detail in printable form, use the Consumable Movements report under Reports.

Troubleshooting

Symptom Likely cause Resolution
I cannot find a movement I know happened. Filters are applied, or it belongs to another company. Use Clear filters and check the active company.
A transfer appears duplicated. Those are its two legs: the issue from the origin and the receipt into the destination. That is the expected behavior.
I want to correct a wrong movement. The history is immutable by design. Record an adjustment with the reason; both stay visible.
The sum of quantities does not match the stock. You are probably looking at several Locations at once. Filter by a single Location.
