Depreciation books

Overview

The Depreciation books screen is where you create and manage the Accounting books your company's fixed Assets will be depreciated under. Each asset can be tied to a specific depreciation book, giving you the flexibility to handle different Accounting or tax treatments. Administrators and accountants responsible for the asset Accounting setup use it.

Key concepts

Term Definition
Depreciation book An Accounting record grouping the rules and parameters Assets are depreciated under. You can keep several books (for example, one for tax and one for financial reporting).
Code The book's unique identifier within your account. It cannot be changed once created.
Default Marks the book as the first option offered when an asset is registered. Marking only one book as default is recommended.
Active Whether the book is available to be assigned to new or existing Assets. An inactive book does not appear in the system's selection lists.

How to use it

Create a depreciation book

  1. Click New (top right).
  2. In the New Depreciation Book dialog, fill in the required fields:
    • Code: enter a unique code for the book (for example, TAX or IFRS).
    • Name: enter the book's descriptive name.
  3. Optionally, fill in the Description and switch on Default and/or Active.
  4. Click Save. While the system processes the operation, the button reads Saving...
  5. A confirmation notification appears once the book is created successfully.

Edit a depreciation book

  1. In the table, click the Code of the book you want to edit (it appears as a link). Or right-click the row and choose Edit from the context menu.
  2. In the Edit Depreciation Book dialog, change the available fields.

    Note: the Code field cannot be edited once the book is created.

  3. Click Save to confirm the changes.

Delete a depreciation book

One at a time:

  1. Right-click the book's row in the table.
  2. Choose Delete from the context menu.
  3. Confirm the action in the confirmation dialog that appears.

In bulk:

  1. Tick the selection checkboxes of one or more books in the table.
  2. Click the Delete (N) button in the top bar, where N is the number of selected items.
  3. Confirm the action in the dialog: "Are you sure you want to delete the selected depreciation books?"
  4. A notification appears with the number of books deleted.

Refresh the table

Click Refresh (the reload icon, next to New) to reload the data from the server without reloading the whole page.

Filter and search

  • Use the table's built-in search to search by Code or Name.
  • You can apply column filters directly in the table headers.
  • To clear every active filter, click the active-filter indicator that appears in the top bar when filters are applied.

Fields

Field Type Required Description Validation
Code Text field Yes The book's unique identifier. It cannot be changed after creation. Required. The Save button stays disabled while it is empty.
Name Text field Yes The depreciation book's descriptive name. Required. The Save button stays disabled while it is empty.
Description Text field No Free text describing the book's purpose or scope. None.
Default Checkbox No Marks this book as the default option when assigning a book to an asset. Default value: off. None (uniqueness is not enforced on the form).
Active Checkbox No Whether the book is available for use. Default value: on. None.

Table columns

Column Description
Code The book's unique code. It acts as the link that opens the edit form.
Name The depreciation book's name.
Default Shows a tick if the book is marked as the default.
Active Shows a tick if the book is active.
Description The book's description. Long text is truncated with an ellipsis; the full text appears on hover.

The first three columns (Code, Name, Default) stay frozen when you scroll the table horizontally.


Permissions

Available to users with access to the module, as configured by your administrator.


Notes

  • The table's data belongs to the active company selected on your account. If you switch company, the table updates automatically.
  • Defining at least one depreciation book before registering Assets is recommended, as it is a common asset classification field.
  • If you want to keep financial depreciation (IFRS) and tax depreciation (DGI) separate, create one book for each treatment.

Troubleshooting

Symptom Likely cause Resolution
The Save button stays disabled Code or Name is empty. Fill in both fields before trying to save.
The message "Record not found" appears when editing Another user deleted the book while the table was loaded. Click Refresh to reload the list.
No book appears in the table No books have been created yet, or active filters hide the results. Clear the active filters, or create a new book with New.
The Code field is disabled in the dialog You are in edit mode; the code cannot be changed once created. If you need a different code, delete the book and create a new one with the right code.
The delete confirmation mentions several books although you selected only one The selection may include more rows than are visible. Click Clear selection in the top bar and select only the books you want again.
