ActivoHQ User Documentation
Welcome to the documentation for ActivoHQ, the cloud platform for fixed asset management from P4 Software. These pages explain every screen and every process in the system, step by step.
ActivoHQ is multi-company and multi-tenant (each customer signs in through their own subdomain, for example yourcompany.activohq.cloud) and is available in English and Spanish.
What you will find here
The documentation is organized by module, following the application menu:
- Home and account — the Dashboard, Signing in, your profile, sign-up, the subscription and how the data tables work.
- Master data — the base catalogs: Companies, Asset models, Manufacturers, Depreciation methods, custom fields, Locations, Cost centers, Custodians, Employees, Depreciation books and the CifraHQ account map.
- Assets — the Asset register, the record for each asset, bulk import and export, Importing a supplier e-invoice, reservations, self-service requests and Software licenses.
- Coverage — Warranties, service contracts and Insurance policies, with alerts before they expire.
- Consumables — the supply room: catalog, stock by location, issues charged to a cost center, receipts, transfers and history.
- Accounting and depreciation — Fiscal years and periods, Depreciation runs, Usage entry, Journal batches, disposals, revaluations and Pending approvals.
- Physical audit (RFID) — Count sessions, reconciliation, transfers and the mobile inventory app.
- Reports — the Reports that render on screen and print, and the Depreciation what-if simulator.
- Settings — the CifraHQ integration, users and permissions, email, single sign-on, Automation rules, Webhooks, the Report designer and translations.
- Developer API — the REST API reference for integrating ActivoHQ with other systems.
How the content is covered
ActivoHQ follows the whole fixed asset life cycle: registration (manually, by import or from the supplier's e-invoice), depreciation across multiple books, reservations and loans, staff requests, Warranties, Insurance and licenses with their expiry alerts, RFID audits and counts from the mobile app, disposals and revaluations with optional approval, periods and journal entries, the CifraHQ integration, automation and Reports. Every screen in the system has its own page in this guide.
