Location transfers

Overview

The Location transfers screen shows the history of Assets moved between Locations, formalized out of RFID physical Count sessions. When the system detects an asset in a location different from the one recorded and the user applies the move from the matching count session, the movement is recorded here. This screen is read-only, and asset owners and auditors use it to check which transfers have been confirmed and when.

Key concepts

Term Definition
Location transfer The record documenting an asset's move from an origin location to a destination location, detected and confirmed during an RFID count.
Count session The physical audit process where Assets' RFID tags are read to verify their current location. It is managed under Audit > Count sessions.
Reconciliation The step inside the count session where the system compares the RFID reads against the recorded Locations and classifies each result (Found, Missing, Unexpected or Moved).
Apply transfer The action available on a reconciled session's detail for Assets with a "Moved" result. Running it produces the record that appears on this screen.
Reason Descriptive text explaining why the move happened, generated automatically or recorded when the transfer is applied from the count session.

How to use it

View the transfer list

  1. Go to Audit > Transfers in the side menu.
  2. The table loads the transfers recorded for the active company automatically, newest first.
  3. To search by reason, use the search field or the column filters available on the table.
  4. To sort by any column, click the header you want (Asset, Transfer Date or Reason).

Filter the table

  1. Click the filter icon on the column you want to filter.
  2. Enter the search value in the matching field.
  3. To see the active-filter indicator, look at the page header: it shows the number of filtered records.
  4. To remove every active filter, click Clear filters in the page header.

Refresh the list

  • Click Refresh (the reload icon) in the page header's top right corner to reload the data from the server.
  • If you switch the active company in the account selector, the table updates automatically to show the selected company's transfers.

Generate a new transfer (from the count session)

Transfers are not created directly from this screen. To record a new move:

  1. Go to Audit > Count sessions and open the relevant count session.
  2. Upload the RFID reads in CSV form using the Upload reads (CSV) field.
  3. Click Reconcile so the system classifies the results.
  4. In the results table, find the Assets with Moved status.
  5. Click Apply transfer next to the relevant asset.
  6. On confirmation, the system produces the transfer record and it becomes visible under Audit > Transfers.

Fields

The Location transfers table has these columns:

Field Type Required Description Validation
Asset Text - The identifying code of the asset that was moved. -
Transfer Date Date - The date the move was formalized (format: Month DD, YYYY). The table sorts by this field descending by default. -
Reason Text - A description of why the move happened. The free-text search works on this field. Maximum 256 characters. -

Note: the move's origin and destination Locations are stored internally but are not shown as columns in this list view.

Permissions

No role-based access restriction is declared on this screen. Available to users with access to the module, as configured by your administrator.

Notes

  • Transfer records are created exclusively from the Audit > Count sessions module, by applying a transfer to a result with "Moved" status on a reconciled session. Transfers cannot be created, edited or deleted directly from this screen.
  • This screen is limited to the transfers of the active company selected on the account. To see another company's transfers, switch the active company in the account selector.
  • If the table is empty, the guidance message says: "Apply a transfer from a reconciled count session to record a movement."

Troubleshooting

Symptom Likely cause Resolution
The table shows no records No transfers have been applied from Count sessions, or the active company has no moves recorded. Go to Audit > Count sessions, reconcile a session and apply the transfers for Assets with "Moved" status.
The data does not reflect recent changes The data may be cached, or a transfer was applied from another session. Click Refresh at the top right of the screen.
I cannot find a specific move Active filters are hiding records, or the move belongs to another company. Click Clear filters in the header and check that the active company is the right one.
The "Apply transfer" button does not appear on the count session The result does not have "Moved" status, or the move was already applied. Check the result's status in the session's results table. Only Assets with "Moved" status and an unapplied move show that button.
