Using the data tables

Overview

Almost every list screen in ActivoHQ - Assets, licenses, Warranties, Employees, Locations, Journal batches - uses the same table. Learning its options once covers the whole system: search, filter, sort, group, choose columns, freeze columns, see totals and export.

Each user gets their own view: sort order, column widths, column selection and filters are remembered in their browser for the next time they open that screen.


Toolbar

Button What it does
Excel Exports the table contents to Excel.
PDF Exports to PDF, on the screens that offer it.
Column chooser Shows or hides table columns.
Search Searches text across the fields that matter on that screen.
Grid Settings Opens the presentation options (see below).

Search and filter

  • Search finds text in the fields defined for that screen; on Assets, for example, the code, the name and the RFID EPC.
  • Every column has its own filter. On text columns the search matches anywhere in the value: typing printer also finds Multifunction printer.
  • Columns with fixed values - status, availability, type - are filtered by name from a list of options, with All as the alternative.
  • When filters are applied, the header states how many records remain and offers Clear filters.

Sort and group

  • Click a column header to sort; click again to reverse the order.
  • The context menu (right-click) lets you sort ascending or descending and group or ungroup by that column.

Option What it does
Edit / View Opens the record.
Delete Deletes the record, after confirmation.
Copy cell / Copy row Copies the content to the clipboard.
Export row / Export all Exports just that row, or the whole table, to Excel.
Freeze column / Unfreeze column Pins a column while you scroll horizontally.
Autofit column or all columns Fits the width to the content.
Clear filters Removes every applied filter.
Reset columns Returns the table to its original presentation.

Grid Settings

The Settings button opens the Grid Settings dialog:

Option Values
Grid lines Both, Horizontal, Vertical or None.
Row density Compact, Normal or Comfortable.
Sticky header Keeps the header visible while you scroll.
Wrap long text Shows the full text over several lines instead of truncating it.

Close it with Done.

Multiple selection

Tick the row checkboxes to act on several rows at once. The top bar shows how many are selected - for example Delete (3) - and a link to clear the selection.

Totals in the footer

On the screens that offer it, the footer of a numeric column shows a total with a selector to switch the calculation between Sum, Average, Minimum and Maximum.


Notes

  • Table presentation is saved in each user's browser: changing it does not affect your colleagues, and from another machine you will see the default presentation.
  • If a table looks wrong after a system update, use Reset columns.
  • Tables only ever show data for the active company; switching company reloads them.
  • Exports respect the applied filters and the company's currency.

Troubleshooting

Symptom Likely cause Resolution
The records you expect are not there. Filters are applied, or the active company is not the right one. Use Clear filters and check the company selector.
A column that used to be visible is missing. It is hidden in the column chooser. Open it and tick the column again, or use Reset columns.
The text filter does not find a value that clearly exists. You searched with different accents or capitalization, or the value is in another column. Type a shorter part of the text; the contains-search does not need an exact match.
The table looks misaligned. A saved presentation from an earlier version of the screen. Use Reset columns.
