Overview

Implants inside a tray carry expiry dates, and a tray parked Ready can quietly hold stock that expires before its next case. The Tray Expiry screen lists every lot, serial and quantity sitting inside a live tray that expires within a configurable warning window — so the stock is swapped in the Warehouse, not discovered in theatre.

How It Works

  • The warning window is Business_Kitting_ExpiryWarningDays (default 30). Stock whose expiry date falls within that many days — including stock already expired — is listed. Setting the window to 0 disables the feature.
  • Only live trays count (inactive trays are ignored) and only details with quantity in the box.
  • Rows are sorted soonest-first. Already-expired rows are highlighted and show how many days ago they expired.

Screen Columns

Column Description
Tray The tray number holding the stock.
State The tray's current lifecycle state.
SKU / Description The product.
Lot / Serial The expiring detail.
Expiry The expiry date.
Qty Units of that detail inside the tray.
Days left Days until expiry; negative values show as "Expired Nd".

The Seeded Daily Report

The button Other > Seed tray Reports creates, once, a scheduled report named "Tray expiring contents" that emails the same data daily at 07:00 as an Excel attachment.

  • Recipients come from Business_Kitting_ExpiryAlertEmails at the moment of seeding; edit the report afterwards under Reports & KPI > Scheduled Reports to change them.
  • Seeding is safe to click twice — existing Reports and widgets are left untouched, so your later edits survive.
  • The same button also seeds the Tray Analytics dashboard widgets.
  • Sending requires your tenant's outgoing Email (SMTP) to be configured.

Troubleshooting

Symptom Likely cause Resolution
The screen is always empty Warning window is 0, or tray Products are not expiry-controlled Set Business_Kitting_ExpiryWarningDays; confirm Products carry expiry dates on receipt.
The daily Email never arrives Report was seeded with empty recipients, or SMTP is not configured Edit the "Tray expiring contents" scheduled report; check the Email configuration.
A tray at a hospital shows in the list Working as intended — its contents still expire Plan the swap for when the tray returns.
