Expiry report

logisticaHQ Client Portal
Expiry report

The Expiry report lists your stock that carries an expiry date and tells you which of it has expired or is about to. Use it to answer "what is about to expire?" It is for any user whose warehouse has turned on View reports.

Who can use this

You need the View reports switch. See Inventory and reports.

How to get there

Reports > Expiry

The subtitle reads "Your stock that carries an expiry date, bin- and LPN-stored."

The Expiry report with the three summary tiles, the chart and the table

The Expiry report.

The summary band above the table

Above the table you see three tiles and a chart. They appear only when at least one line has an expiry date; if there is none, there is no band at all (not zeros).

TileWhat it counts
ExpiredUnits whose expiry date is before today (red number).
Expiring ≤ 30 daysUnits that expire from today up to 30 days from today, both days included (amber number). Units that have already expired are not counted here.
UnitsAll the units that carry an expiry date. This is not your total stock: units without an expiry date are not counted.

The tiles count units (the quantity), not rows. For example, a line of 100 units that expired last week and a line of 40 units that expires in ten days give Expired 100 and Expiring ≤ 30 days 40. The numbers are whole numbers with a comma for thousands.

The chart is titled On-hand by expiry window. It is a column chart with one column for each time window, in date order, and the columns show units (the series is named Units). A window with no units is left out.

Important: The tiles and the chart count all the lines in the report. They do not change when you search or filter the table below.

Columns

ColumnWhat it means
SKUThe product's SKU.
DescriptionThe product description.
StatusA coloured label: Expired, Expiring soon or OK. See the table below.
ExpiryThe expiry date, for example Sep 24, 2026.
Days to expiryHow many days are left, written as shown below.
WarehouseThe warehouse, shown as code, a dot and name (for example 1001 · Main warehouse).
BinThe bin code. For stock on an LPN it is the bin the LPN is in.
LPNThe LPN code. Empty when the stock sits loose in a bin.
QtyThe quantity with that expiry date, with two decimals, aligned to the right.
UoMThe product's unit of measure.

There are no Lot or Serial columns here. For those, use the Inventory detail report. The cells are plain text, not links. Empty cells are left blank.

Status

StatusColourWhen
ExpiredRedThe expiry date is before today.
Expiring soonAmberThe expiry date is today, or up to 30 days from today.
OKGreenThe expiry date is more than 30 days from today.

Days to expiry

The example below assumes today is Sep 24, 2026.

Expiry dateDays to expiry showsStatus
Sep 19, 2026Expired 5d ago (bold, red)Expired
Sep 24, 2026Today (bold, amber)Expiring soon
Sep 25, 20261 dayExpiring soon
Oct 24, 202630 daysExpiring soon
Oct 25, 202631 daysOK
Important: "Today" is the date on your own computer. The report compares calendar days only, never the time of day. If the date on your computer is wrong, the status, the days and the tiles shift with it. Two people whose computers show different dates, for example around midnight, can see different values.

How the rows are split

  • Only lines that have an expiry date are listed. Stock in bins and stock on LPNs are both included.
  • There is one row for each stock detail that has an expiry date, and Qty is the quantity of that detail. A product with several expiry dates has several rows.
  • Unlike the Inventory list, this report does not leave out lines with a quantity of 0, so a line with Qty 0 may appear.
Important: A report shows at most 10,000 lines. If your warehouse holds more lines for you than that, only the first 10,000 are shown, and the page does not warn you that some are left out. Your warehouse sets this limit. If you think lines are missing, use Filters to narrow the report (for example by SKU or warehouse code) and ask your warehouse to check the limit.

Search, filter, sort and export

  • The toolbar has the search box (Search...), Filters, Columns and Export. After you filter or search, Clear filters appears with the number of active filters in brackets. The toolbar shows up once the rows have loaded; until then you see only a spinner.
  • The whole report is loaded into your browser, so searching, filtering and sorting are quick and happen on your computer. Each column header can open a list of its values (Filter values), including (Blanks) for empty cells. Click a header to sort; you can sort by more than one column. The full how-to is in Searching, filtering and exporting lists.
  • The Warehouse column shows the code and the name, but filtering, the list of values and search work with the warehouse code alone. To filter by warehouse, use the code (for example 1001), not the name.
  • The report shows 20 rows per page. At the bottom you can choose 10, 20, 50 or 200.
  • Export creates an Excel file named PortalReportExpiry.xlsx. It holds every row that matches your current filter and sort, not only the page you see, and only the columns you are showing.
  • The Excel file is built from the values behind the columns, so it may look different from the screen: for example, Warehouse may show only the code. Check the file before you rely on it.
  • The portal remembers your columns, their order and width, and the sort. It does not remember filters or search text.
  • You cannot sort, filter or search the Status column by its text. To see the lines that are about to expire, sort or filter by Days to expiry or Expiry.
  • The Expiry filter shows a calendar. Picking a day shows the lines that expire on that day. Use the clear button in the filter to remove it.
  • In the Excel file, Status may be empty and Days to expiry may appear as a plain number (negative when expired).

Messages you may see

Message or situationWhat it meansWhat to do
"You don't have access to this section."Your user does not have the View reports switch.Ask your warehouse to turn it on.
A spinner and no toolbarThe report is still loading.Wait a moment.
An empty reportThere are no lines for you, or your search or filters match nothing, or the report could not be loaded. The portal shows no error message in that case.Click Clear filters. If you expect data, reload the page. If it stays empty, tell your warehouse.

Good to know

  • Units in the band is the number of units with an expiry date, not your whole stock.
  • Quantities use a comma for thousands, and dates use the English month abbreviation (Sep), whatever language you use.
