logisticaHQ Client Portal
Customers

Customers are the companies you ship to. This page shows you how to find a customer, create one, change its details and keep its delivery addresses up to date. It is for client users who can view customers, and in particular for those who manage them.

Who can use this

  • To see the customer list and open a customer you need access to View customers.
  • To create customers, change them, manage their addresses or import from Excel you need Manage customers. Manage access includes viewing.

Your warehouse sets these switches for each user. If you can only view, the customer page opens as read-only text. See View only and Administer access.

How to get there

Master data > Customers

The customer list

The list shows every customer of your company. Under the page title Customers the line of Help text reads "Manage your customers. Click a row to edit a customer."

The Customers list with the New customer and Import from Excel buttons and the grid of customers

The customer list for a user who can manage customers.

The grid also has a search box (Search...) and the buttons Filters, Columns and Export; a Clear filters button appears when a filter is on. Your column and filter choices are remembered. See Searching, filtering and exporting lists.

Columns

ColumnWhat it shows
CodeThe customer number.
CompanyThe company name.
ContactThe contact person.
EmailThe customer's email address.
PhoneThe customer's phone number.
DescriptionYour notes about the customer.
CreatedThe date the customer was created.

All columns can be sorted and filtered. Click a row once, or move to it and press Enter, to open the customer. One click is enough.

Create a customer

  1. On the customer list, click New customer.
  2. Type the Customer number. It is the only required field.
  3. Fill in the other details you have on the Details tab.
  4. Open the Addresses tab and add at least one delivery address (see below).
  5. Click Create.

You see the toast Customer created. and the page returns to the customer list. Click Cancel if you do not want to create the customer.

Tip: Search the list for the customer number before you create a new customer. The form is not guaranteed to warn you about a number that is already in use.

The customer page

At the top you see the word Customer and the customer number as the page title (New customer while the number is still empty). The buttons are Back to customers; Refresh on an existing customer (reloads it and drops changes you have not saved); and, with Manage customers, Cancel (on every customer) together with Create on a new customer or Update on an existing one.

The page has two tabs: Details and Addresses. The Addresses tab shows a small number badge when the customer has at least one address.

If you can edit, there is a grey line of Help text under each field. A view-only user does not see it, because there are no boxes to fill in. Required fields are marked with a red asterisk.

Details tab

The tab has two sections that you can open and close. Both start open.

The Details tab of a customer with the Details and Bill to sections

The Details tab of a customer.

Section Details

FieldWhat to enter
Customer number (required)Your unique code for this customer. It appears on their orders, packing slips and Invoices.
Company nameThe customer's legal or trading name, exactly as it should appear on shipping documents.
Tax IDThe customer's tax registration number, where Invoices or customs paperwork need one.
EmailWhere order confirmations and shipping notifications go. Separate several addresses with commas.
PhoneA contact number for questions about this customer's orders.
Contact personWho the warehouse should contact about this customer's orders.
DescriptionFree-text notes about the customer. Your team and the warehouse can read them.

Section Bill to

"Bill to" is the name and address that go on Invoices when they differ from the customer's company. Fill this section in only if the customer's Invoices must go to somewhere else, for example to its head office or to an accounting department. If you leave it empty, Invoices use the company name. This section is not where goods are delivered; delivery addresses are on the Addresses tab. All fields are optional text.

FieldWhat to enter
Bill toThe name to show on the invoice when it differs from the company name.
PhoneA contact number for the invoice recipient.
Address 1The street address for the invoice.
Address 2Suite, unit or floor. Leave it empty if there is none.
CityThe city.
State/ProvinceThe state or province.
Zip/PostalThe postal code.
CountryThe country.

Some customer settings are not shown in the portal (for example the warehouse's own shipping preferences). Saving in the portal never changes them.

Addresses tab

The Addresses tab is the customer's address book of delivery (ship-to) addresses. A customer can have several, and when you place a sales order you can pick one of them (the address picker in the order form appears only for users who can also view customers). Only one address can be the default.

The Addresses tab with the Address dialog open showing Default, Name and the address fields

The Address dialog.

The tab has a heading Addresses, an Add button (Manage customers only) and a table. Until you add one it says No addresses yet.

ColumnWhat it shows
DefaultA check mark on the default address.
NameThe name of the address. If you can manage customers, click it to open the address.
RouteThe route number.
Attn toThe person the delivery is addressed to.
PhoneThe phone number for this address.
Address1The first address line.
CityThe city.
ProvinceThe state or province.
PostalThe postal code.
ActionAn x button (tooltip Remove) that removes the address. Manage customers only.

Add or change an address

  1. Click Add to add an address, or click the address Name in the table to change one. The dialog Address opens.
  2. Fill in the fields:
    • Default: Yes or No. Turning it on for this address turns it off for every other address of the customer.
    • Name (required): a name that identifies the address, for example "Main warehouse".
    • Route number, Attn to, Phone, Email.
    • Address1, Address2, City, State/Province, Zip/Postal code, Country.
  3. Click Save, or Cancel to close the dialog without keeping the change.
  4. When you are done with the addresses, click Create (new customer) or Update (existing customer) at the top of the page.

If the Name is empty, the dialog shows Name is required. and stays open.

Important: Adding, changing and removing an address only changes the page you are looking at. Nothing is stored until you click Create or Update at the top. Leaving the page before that loses the changes. There is no automatic default: if you want a default address, turn on Default on one of them.

Saving

  • If the customer number is empty, a red message Customer number is required. appears and the Details tab opens. Nothing is saved.
  • When the save works you see Customer saved. (update) or Customer created. (new), and the page returns to the customer list.
  • If the warehouse refuses the save you see a red banner Could not save the customer: {0}, where {0} is the reason. Nothing is saved; correct the problem and click the button again.

View-only users

Without Manage customers the page shows every value as plain text. There is no input box, drop-down or switch anywhere on it, not even a greyed-out one, so nothing looks editable. The blue note at the top says You have view-only access to this section. Contact your warehouse provider if you need to make changes. There are no Create or Update buttons. Back to customers and Refresh stay.

  • The Details tab shows the same two sections as the form, Details and Bill to, with the same fields in the same order. A field with nothing in it shows a dash (—). The Help line under each field is not shown.
  • The Addresses tab has no Add button and no remove button. The table has twelve columns: Default (shown as Yes or No), Name, Route, Attn to, Phone, Email, Address1, Address2, City, Province, Postal and Country, with a dash for an empty one. The Name is plain text, not a link, and there is no Address dialog to open, because the table already shows every address field. A customer with no addresses shows No addresses yet.

  • You cannot delete a customer in the portal.
  • Importing customers from Excel changes the details and the Bill to fields, but never the delivery addresses. See Importing and exporting with Excel.
