Turning on the portal for a client

logisticaHQ Client Portal
Turning on the portal for a client

Each client reaches the portal at its own address. You switch the portal on for a client and set that address on the client's card. Only administrators can do this.

Who can do this

You need an administrator account. The Portal tab is visible to anyone who opens the client, but only an administrator can save it. If you are not an administrator, the save is refused with a message that you are not allowed.

Step 1: Open the client

  1. In the office app, open Setup > 3PL > Clients. The list is titled 3PL Clients.
  2. Click the client's name to open its card.

If the client does not exist yet

  1. Click New at the top of the list.
  2. In the Client dialog, fill in Name (required), Description and SSCC Company Id, then confirm.
Important: The client's Name cannot be changed after the client is created, and the portal address is based on it. Choose the name you want to live with. You can still type your own address later (see "The address" below).

Step 2: Turn on the portal

The client card has three tabs: Setup, Notification and Portal. Open the Portal tab. Its section is titled Client self-service portal.

The Portal tab of a client with the portal switched on

Client card, Portal tab, with Portal enabled switched on and an address saved, so the Client portal link is visible.

Field or buttonWhat it does
Portal enabledA Yes/No switch. Set it to Yes to let this client's users sign in. While it is No, none of the client's users can sign in.
Portal URL slugThe last part of the client's portal address. If you leave it empty on a client that has no address yet, the client's Name is used; a client that already has an address keeps it. The hint under the box reads "Lowercase letters, numbers and hyphens. The saved slug may be adjusted for uniqueness."
Save portal settingsSaves the switch and the address together. One save covers both. The Update button at the top of the card saves them as well whenever you changed either one since the last save, so pressing Update does not lose them.
Client portal linkAppears only while the portal is switched on and saved and the client has a saved address. It shows the full address in a read-only box. While the portal is switched off, or switched on but not yet saved, the tab shows "The portal is switched off for this client, so there is no link to share yet. Switch on Portal enabled and save to get the link." instead.
Open portalThe icon button next to the link (this is its tooltip). Opens the client's portal in a new browser tab.
CopyCopies the address (tooltip Copy link). A small message "Portal link copied to clipboard" confirms it.
  1. Set Portal enabled to Yes.
  2. Type an address in Portal URL slug, or leave it empty to use the client's name.
  3. Click Save portal settings. The Update button at the top of the card saves the switch and the address too.
  4. Read the saved address in Portal URL slug. The screen shows what was really saved, which can differ slightly from what you typed. When it does, a message tells you why (see the rules below).
  5. Under Client portal link, click Copy to copy the full address, or Open portal to try it yourself.

The address

The portal address has this form:

https://<your logisticaHQ address>/portal/<slug>

The sign-in page is at the same address followed by /login. If a client opens the address without /login, the portal sends them to the sign-in page.

The Client portal link box shows the whole address, so you never have to build it by hand. The hint next to it reads "Send this link to the client so they can reach their portal."

Rules for the slug

  • Use lowercase letters, numbers and hyphens.
  • Any other character, such as a space or a punctuation mark, is replaced by a hyphen. Several in a row become one hyphen, and hyphens at the start or end are removed.
  • Capital letters are changed to lowercase.
  • Accented letters are written without the accent instead of turning into a hyphen: Panamá becomes panama and Niño becomes nino. If the saved address differs from what you typed only because of this, a message says "The portal address was saved as panama: addresses use lowercase letters, numbers and hyphens only." (with your own address in it).
  • If nothing usable is left, the address becomes client.
  • Each client needs its own address. If another client already uses the address you typed, the portal adds -2 (or -3, and so on) and shows the message "The portal address acme is already used by another client, so it was saved as acme-2. Type another address to change it." (with your own addresses in it).
  • Saving again never changes an address that the client already has. Typing the same address again, or leaving the box empty, keeps the saved one.

Changing the address later

Important: If you change the Portal URL slug of a client that already uses the portal, the portal address changes and the old address stops working. Tell the client, and send the new link. Saved bookmarks will no longer open the sign-in page.

What happens when the portal is switched on or off

  • On: the client's users can sign in at the address, as long as they are active and set up as portal users. See Creating portal users.
  • Off: sign-in is refused for every user of that client. The user sees the general sign-in message "Invalid username or password, or the portal isn't enabled for your account." A user who is already signed in is sent back to sign in the next time the portal reloads.
  • The name that clients see in the portal menu and in the greeting on their Dashboard is the client's Company name (on the Setup tab, in the Details section). If it is empty, the Name is shown. Fill in Company name with the trading name you want your client to see.

Find the address again later

Open Setup > 3PL > Clients, open the client, go to the Portal tab and use Copy under Client portal link. The link is shown only while the portal is switched on.
