Portal access switches

logisticaHQ Client Portal
Portal access switches

Each portal user has their own set of access switches. The switches decide which menu items, buttons and Dashboard sections the user sees. This page lists all 14 switches, what each one opens and some suggested combinations. Only administrators can change the switches.

Where to find the switches

  1. Open Setup > System > Users and open the portal user.
  2. Go to the Access tab.
  3. Find the card Portal access. Its hint reads "Capabilities this client user has in the self-service portal."

The Portal access card with the View only and Administer groups

The Portal access card of a new portal user: all nine View only switches on and all five Administer switches off.

  • The card appears only after the user has a client (see Creating portal users). It is not shown to anyone who is not an administrator.
  • Each switch saves at once when you click it. There is no Save button for this card.
  • A new portal user made in the New user dialog starts with all nine View only switches on and all five Administer switches off.
  • The switches belong to the user, not to the client. Two users of the same client can have different switches.

The two groups

The card has two boxes. View only (hint: "What this user may look at.") holds nine switches that let the user look at things. Administer (hint: "What this user may create or change. Each one also allows viewing it.") holds five switches that let the user create or change things.

When you turn on an Administer switch, its matching View only switch is shown as on and locked, because the user needs to see something to change it. A small note Included with and the name of the Administer switch (for example Included with Place outbound orders) is shown beside the locked switch. Clicking a locked switch does nothing, so you cannot turn that View switch off while the Administer switch is on. Turn the Administer switch off to release it; the View switch then goes back to what was saved for it.

View only switches

SwitchWhat it opens in the portal
View DashboardThe Dashboard menu item and landing page. Each panel on the Dashboard also needs its own switch (see "Dashboard sections" below).
View InventoryReports > Inventory, with the pages for one product, one bin and one LPN that open from its links. Also the Dashboard panels Units on hand, Active SKUs and Inventory by warehouse.
View orders & shipmentsSales > Sales orders and Closed Sales orders, and the page of one order. Also the Dashboard order and shipment panels.
View Purchase ordersPurchasing > Purchase orders and Closed Purchase orders, and the page of one purchase order.
View InvoicesInvoices: the list of posted Invoices, the invoice page and the Download PDF and Download XLSX links. The user never sees draft Invoices. Also the View Invoices button on the Dashboard.
View reportsReports > Inventory detail, Bulk Inventory and Expiry. Also the Dashboard tile Expiring ≤ 30 days.
View ProductsMaster data > Products, read-only.
View CustomersMaster data > Customers, read-only. It also lets the order form offer the customer's saved ship-to addresses.
View VendorsMaster data > Vendors, read-only.

Administer switches

SwitchWhat it addsView switch it also turns on
Place outbound ordersThe New order button on the Sales orders list and on the Dashboard, and the order form. Also Changing an order while it can still be changed: the Edit order button on the order page shows while the order is Draft or Unallocated and not on a truck load.View orders & shipments
Create Purchase ordersThe New purchase order button on the Purchase orders list and on the Dashboard, and the purchase order form. Also the Dashboard's inbound panels. A purchase order can be changed while it is Draft or Not Received.View Purchase orders
Manage ProductsNew and edited Products, Import from Excel with its template, and the Upload image button on a product.View Products
Manage CustomersNew and edited Customers, adding and removing ship-to addresses, and Import from Excel.View Customers
Manage VendorsNew and edited Vendors, and Import from Excel.View Vendors

What a user sees with fewer switches

  • A menu group or item is hidden when the user does not have its switch. The portal leaves no gap.
  • A user who has a View switch but not the matching Administer switch sees the banner "You have view-only access to this section. Contact your warehouse provider if you need to make changes." on Products, Customers, Vendors and Purchase orders. Products, Customers and Vendors show their values as plain text, with no input box at all, not even a greyed-out one. Sales order and purchase order pages are plain text for everyone; a view-only user has no button to edit them. The buttons New product, Import from Excel and Upload image are not shown to them. Upload image needs Manage Products, and the portal also refuses an upload from a view-only user.
  • The Sales orders list has no banner. Without Place outbound orders the user simply has no New order button.
  • The import pages need the Manage switch. A view-only user who opens one sees "You don't have access to this section."
  • The closed lists (Closed Sales orders, Closed Purchase orders) use the same switch as the open lists.
  • Inventory sits inside the Reports group but needs View Inventory. The three reports need View reports. A user can therefore see a Reports group that holds only Inventory, or only the three reports.
  • A user with no switch at all can sign in, but sees only "You don't have access to this section."

Where a user lands after signing in

Users who have View Dashboard land on the Dashboard. Users without it land on the first section they can open, in this order: Sales orders, Purchase orders, Inventory, Invoices, Inventory detail, Products, Customers, Vendors.

Dashboard sections

Every panel on the Dashboard needs its own switch on top of View Dashboard.

To showGive the user
Orders in progress, Units shipped this month, Outbound shipments (last 6 months), Order status, On-time shipments and the shipments in Recent activityView orders & shipments
Open Purchase orders, Units on order, Units received this month, Receipts (last 6 months) and the card Open Purchase orders: expected vs receivedCreate Purchase orders. View Purchase orders alone shows none of this.
Units on hand, Active SKUs, Inventory by warehouseView Inventory and View reports
Expiring ≤ 30 daysView reports
The stock section: SKUs at or below min, Out-of-stock SKUs, Inventory turns (annualized), Storage locations in use, Short stock and On-hand by expiry windowView Inventory and View reports together. The stock section needs both switches. A user with only View Inventory sees no stock figures there.
The last posted invoice in Recent activity, and the View Invoices buttonView Invoices
Important: A user with View Dashboard and nothing else sees only the message "Nothing to show yet. Ask us to enable more of your portal to see KPIs here." The same happens with View Dashboard and View Invoices only. Give such users the switches for the sections they should see.
