The Owner Dashboard is a live health snapshot of your company for administrators. It puts on one page what an owner checks every day: goods billed to Customers but still in the warehouse, Customers who have not paid, Vendors you owe, documents stuck in draft, and the largest open balances.
Select Owner Dashboard in the main menu. Only Users with the Administrator user type can see the menu item and open the page.
| Tile | What it counts |
|---|---|
| Open Sales Orders | Sales Orders that are not archived. Click to open the sales order list. |
| Unpaid Invoices | Posted Invoices with a balance, and the total accounts receivable outstanding. Click to open Invoices. |
| Unpaid Vendor Bills | Posted Vendor Bills with a balance, and the total accounts payable outstanding. Click to open Vendor Bills. |
| Invoiced, Not Shipped | Value billed to Customers for goods not yet shipped, and how many Customers and Sales Orders are affected. |
| Draft Documents Aging | Sales Orders, Invoices, and Vendor Bills still in draft. |
| Customers / Vendors | Total Customers and Vendors on file. |
This section lists every sales order line that was billed to the customer but has not left the warehouse, so you can make sure no customer pays for goods they have not received.
| Column | Meaning |
|---|---|
| Invoiced | Units on posted Invoices created from the sales order. Voided Invoices do not count, and a credit note that reverses an invoice line reduces the invoiced units. |
| Shipped | Units on posted Inventory Deliveries for the same sales order line. |
| Not Shipped | Invoiced minus Shipped, counting at most the quantity ordered. Only lines with units still to ship appear. |
| Value | The amount billed before tax for the units not yet shipped. |
| Days | Days since the first invoice for the line was posted. |
Only stock Products appear, because services never ship. Invoices entered directly, without a sales order, are not included.
| Status | Meaning |
|---|---|
| Awaiting delivery | No delivery has been started for the line. |
| Sent to warehouse | The order is in the warehouse system, waiting to be picked. |
| Delivery in draft | A delivery exists for the line but has not been posted. |
| Order closed | The sales order was closed, so these units will not ship. Review the invoice with the customer. |
Each group header shows the number of lines and the total units and value not shipped. The bottom of the grid shows the grand total. Click a sales order number to open the order.
Click Export to Excel to download the lines grouped the way they are shown on screen, with the group headers and totals.
Posted Invoices that still carry a balance, oldest due date first. Each row shows the posting and due dates and whether the invoice is overdue or not yet due. The table shows up to 25 Invoices; the tile above counts all of them. Click a row to open the invoice.
Posted Vendor Bills that still carry a balance, with the same columns as the receivables table. Click a row to open the bill.
Sales Orders, Invoices, and Vendor Bills that are still in draft, oldest first. Drafts do not post to the general ledger, so a draft that sits for weeks usually means a process is stuck.
Expenses that are not archived, with their vendor, posting date, and total.
The 15 Customers and 15 Vendors with the largest open balances. A customer whose balance is above its credit limit is marked OVER LIMIT. Click a row to open the customer or vendor.
The figures are recalculated at most every 5 minutes. Click Refresh in the page header to load the latest figures; the time they were generated is shown at the bottom of the page.
