In CifraHQ, a warehouse is any location where you hold Inventory — a distribution centre, a retail store, a consignment shelf, or even a delivery vehicle. Every Inventory receipt and delivery must be assigned to a warehouse, so you need at least one set up before you can process any stock movements.
How to create a Warehouse
- Go to Master Data > Logistics > Warehouses.
- Click New.
- Enter a Name (e.g.,
Main Warehouse or Store A).
- Optionally add an Address for shipping documentation.
- Save.
What each field means
- Name — appears on Inventory Reports, receipts, and delivery notes. Keep it short and recognizable — your team will see it constantly on transaction screens.
- Default — if checked, this warehouse is pre-selected when creating new Inventory transactions. Set this to your most-used location to save your team from selecting it on every receipt and delivery.
- Address — appears on shipping documents and delivery notes sent to Customers or Vendors.
Tips
- Most small businesses need only one warehouse. Create additional locations only if you have physically separate stock that needs independent tracking — for example, a main warehouse and a retail showroom where you don't want stock mixed together.
- Inventory balances are tracked per product per warehouse, so you always know exactly what's where. Move stock between locations using an Inventory Transfer when goods physically move.
- You cannot delete a warehouse once Inventory transactions have been posted to it — deactivate it if it's no longer in use.
