Print Reports

Print Reports

Every invoice, purchase order, and bill you print or email goes out with a document template behind it. CifraHQ ships with ready-to-use default templates for every document type. Print Reports is where you replace those defaults with your own branded designs — built in the Stimulsoft visual designer or uploaded from a file — without changing how the underlying documents work.

Where to find it

Go to Setup > Reporting > Print Reports.

How to customise a print report

  1. Find the report for the document type you want to customise — use the Document column to filter the list.
  2. In the Template column, choose your action:
    • Design — opens the Stimulsoft report designer in a new window so you can edit the template layout, fonts, and branding visually.
    • Download — saves the current template file to your computer for offline editing or backup.
    • Upload — replaces the template with a file from your computer (use after editing a downloaded template externally).
    • Reset — reverts the template to the CifraHQ factory default, discarding any customisations.

Creating a new custom report

  1. Click New.
  2. Enter a Name, optional Description, and select the Document type this report applies to.
  3. Save, then use Create Template to start from a blank Stimulsoft canvas, or Upload to bring in an existing template file.

Field reference

Source value What it means
Default Shipped with CifraHQ. These templates update automatically when CifraHQ upgrades, which means you always have the latest layout — but your customisations are not preserved.
Custom Created or uploaded by your team. These are never overwritten by upgrades, so your branded layout stays exactly as you designed it.

JSON datasource (administrators)

When you are designing or troubleshooting a template, it helps to see the exact data CifraHQ feeds into it. On every document detail screen (Invoices, Sales Orders, Quotes, Purchase Orders, credit notes, memos, deliveries, payments, and Returns), administrators see a dedicated JSON button next to Reports with two options:

  • JSON Datasource - opens the report data for the current document in a new browser tab, so you can inspect field names and values.
  • Download JSON Datasource - saves the same data directly as a file named after the document (for example INV-00001234.json), without opening a tab. Load this file into the Stimulsoft designer as a sample datasource while building a template.

The button only appears for administrator Users, and only when JSON datasource access is enabled for your company. Regular Users never see it.

Tips

  • You can have multiple print reports for the same document type. When a user clicks Print, CifraHQ presents all matching Reports and lets them choose — useful when you need different layouts for different Customers or regulatory contexts.
  • Pair a print report with an Email Template so CifraHQ pre-populates the subject line and body when Users email a document directly from CifraHQ.
